How to use Google Calendar

If you want to be organized, what you need is a calendar, Google Calendar is probably one of the most popular and easy-to-use applications, as it comes installed on Android devices (tablets and smartphones) along with other Google apps.

The first thing you must do to start using Google Calendar , both on your mobile and on your PC, is to create a Google account , as it will be an essential step as a prelude to enter the calendar and start adding the different events. Once the account is created, it is time to log into Google Calendar :

Add a calendar from settings

The first thing is to create a calendar . What we are actually going to do is create a kind of “label” for the events, so we can assign different events to different calendars . To see it more clearly, we leave you an example with which you will understand it.

Imagine that you have personal and work events, but you want to distinguish them in some way and that is precisely what allows the creation of a calendar for each of these types of appointments , we could call one of the calendars “work” and “personal” the other.

This is what will later also allow you to hide one calendar or another , so you will only be able to see, for example, the appointments belonging to the calendars that you want. Knowing why you are going to use Google Calendar calendars, it is time to create them:

  • Open Google Calendar on the PC through the browser and click on the gear icon that you will see in the upper right, just to the left of your profile image. Enter the “settings” option.
  • Go to the option “add calendar” that you will see on the left of your screen and click where it says “create a calendar”. Give it a name, a description if you see it necessary and the time zone you want it to have (the latter would not need to be changed). When you have it, click on “create calendar” and voila, you can close this window.

How to change the color of calendars

It is possible to color the events , for this we have to change the color of the calendars that you have created with the steps mentioned above. You got it? If so, you can now customize it with a color.

You just have to go to Google Calendar and go to the left column, just to the “my calendars” section . Now move the mouse over it and click on the icon with the three dots that appears on the right, there you will see the available colors, which are many.

How to add events to Google Calendar

Having done the previous step, the next thing is to start adding the events to the calendar . You just have to click on the day on which you want to add the appointment and fill in the different fields that they ask for (event title, day and time, location and description if you want). Click on “save” and you will see how the event will appear.

Add events with more parameters

The previous steps refer to the creation of simple events, with few parameters, but it is possible to add a few more details to the events:

  • In Google Calendar, click on the day you want to add an event and now click on “more options” .
  • Apart from the name, you can put the availability, a Hangouts conference or if the appointment itself is public or private, in addition to being able to add a description even with a format. If what you need is to repeat the event for a certain time, you will have to uncheck the box “all day” and configure the time, date and how often you want to repeat it (every day, every week on Tuesday, every day or a date custom).
  • When you have the event configured with the options you wanted, click on “save” and you’re done.

What else can you do on Google Calendar?

Although the main objective of Google Calendar is that the user can add events to different calendars, there are certain actions that you can then execute on those events, in addition to other features that you should know:

  • Delete events: it is possible to delete events in Google Calendar, just right click and click on “delete” (trash icon).
  • See quick description: you can see a small summary of the event by clicking on it.
  • Hide calendars: if you have created several calendars and want to view only some, just go to the lower left where the calendars appear, and click on the left of the color to uncheck their display, that way the events of said calendar.
  • Change the views: although the default view is monthly, you can see the events with another perspective from the top (4 weeks, year, agenda, etc.).
  • Search for an event: if your calendar is full of appointments, but you need to search for a specific event, you just have to click on the magnifying glass icon at the top and write a word that identifies that event in order for Google Calendar to offer the result.

More advanced Google Calendar options

In the configuration of Google Calendar there are some advanced parameters of special interest that you probably want to configure perfectly, although we are going to show you the most important ones that you should know:

  • Language and region: in this section you can change the calendar language, country, date format and time format.
  • Change time zone: here you can configure your current time zone, generally this field does not need to be changed because it is configured automatically, although as an extra option you can activate a second time zone, whatever you want.
  • Event configuration: in this section you can change the duration of the events (by default it is 60 minutes), if you want to add automatic invitations or not and parameters related to the notifications of your events.
  • Display options: this part is toggled boxes, that is, you can enable or disable. The most interesting of all is that Google Calendar shows you on weekends and that the week starts on Monday. You can also change the default view of the calendar and something else.
