How to add Gmail accounts

Do you need to create a secondary Gmail account to use for work but don’t know how to do it? You have just created a Gmail address, are you trying to configure it in your favorite email client but at the end of the procedure appear some strange error messages? Do not despair, there is a solution to all this and if you want I can explain how to proceed.

In fact, with today’s guide we will see together how to add Gmail accounts in the main email clients available for computers, smartphones and tablets. I will also explain how to configure Gmail to use two or more accounts at the same time without having to resort to browser extensions (which, as known, in some cases, can also pose privacy risks).

How to add Gmail accounts on PC

Gmail allows you to use two or more email accounts at the same time without resorting to browser extensions or particular applications. Let’s see immediately how.

To log in to Gmail with your account, go to the main Google page , press the Login button , at the top right, and type the email address and password associated with your account. If you want to know more, check out my tutorial on how to create Gmail emails .

Now, if you want to configure Gmail to use a second account on your computer, connected to your e-mail box , click on your photo located at the top right and press the Add another account button in the box that opens. On the page that opens, choose whether to add an existing Gmail address or click on Create an account .

When the operation is completed, you can switch at any time from one account to another by clicking on your photo , at the top right, and selecting the mailbox you want to consult from the menu that appears. It is also possible to use multiple Gmail mailboxes at the same time, in different browser tabs.

In the next chapters, however, you will find all the information to add one or more accounts in the settings of your PC to then use them with the default clients of Windows 10/11 or Mac.

Add Gmail Accounts: Windows 10

If you want to add a Gmail account on Windows 10 or add a Gmail account on Windows 11 , first click with the right mouse button on the Start icon in the system tray. In the menu that you see, select the Settings item and, in the screen that is shown to you, select the Account tab , in the sidebar.

At this point, select the item E-mail and accounts and press the Add account button . At this point select the Google item and type your Gmail address and the password associated with it. Then press the Allow button , type the name to be assigned to the Gmail address when sending messages and then press the Enter and then Done buttons .

In case you want to add more accounts, all you have to do is follow exactly the same procedures that I indicated in the previous paragraphs. You can therefore associate all the Gmail accounts you want, which will then be used by the integrated Mail application in Windows (press the ☰ icon to select the Gmail account to manage).

Add Gmail Accounts: Mac

In case you have an Apple branded computer, you need to know that you can add a Gmail account on Mac easily to send emails, view contacts and some of the other information stored in your Google account.

First, start the System Preferences from the Dock bar or select the System Preferences item in the menu that is shown to you by pressing on the apple icon in the menu bar. Once this is done, click on the Internet Account item and then click on the + button on the left. Then select the Google item and then press the Open browser button .

At this point, in the screen that is shown to you, enter the details of your Gmail account (the email address and the password associated with it) and then click on the Allow button . Put a check mark on the Google services you want to synchronize with your Mac (eg Mail , Contacts , Calendars and Reminders ) and press the End key . Through the Mail application you can view the newly configured accounts via the sidebar.

How to add Gmail accounts on the phone

If your goal is to add a Gmail account on your phone or tablet, you should know that, if you are acting as a browser, you can follow the same instructions I gave you in the chapter dedicated to PC . Alternatively, you can set up one or more Google accounts directly on the device by following the procedures you will find in the next chapters.

Add Gmail account: Android

On Android smartphones and tablets , you can easily add one or more Gmail accounts directly from the appropriate section of the green robot’s operating system settings panel.

To do this, open the Settings app that you find on the home screen or in the drawer and select the Account item . At this point, press on the Add account item and select the Google option . All you have to do is simply type in your Google account details to add it to your device.

When you add more than one Google account on Android, via the pre-installed Gmail app on your smartphone or tablet, you can easily switch between accounts. To do this, after starting the app in question, tap on your thumbnail , at the top right, and press on one of the accounts listed to manage your Gmail account.

Add Gmail account: iPhone

To add a Gmail account on iPhone or iPad, you can follow two different procedures, depending on the app you want to use: Google’s Gmail or Apple’s Mail . To use the latter, you need to add the Gmail account in the iOS / iPadOS settings.

To do this, start the Settings app that you find on the home screen or in the app library and select the items Contacts> Accounts> Add account> Google . Then enter the login details of your Gmail account and choose which services to synchronize with your device (in this case at least Mail to manage e-mail). By doing so, through the Mail app you can manage all the Gmail accounts configured on your iPhone or iPad.

If you want to use the Gmail app , on the other hand, after installing it and starting it on your Apple device, press the Login button and configure your first Google account, typing in the login data. To add more accounts on the Gmail app , instead, tap on the thumbnail , on the right of its main screen, and press on the item Add another account .

Now, press on the Google item and then on the Continue button and enter the Gmail address and the password associated with it. After configuring the Gmail accounts, to switch from one account to another, presses the thumbnail and choose which account to manage from the list.

How to add Gmail accounts on email clients

Do you want to add Gmail accounts to Outlook or any other email client? No problem! I’m here to help you! To configure Gmail in a traditional e-mail client, such as Microsoft Outlook or Mozilla Thunderbird , you must first activate the use of the IMAP or POP3 protocol on your e-mail box.

In case you don’t know, the IMAP protocol allows a two-way synchronization of mail, this means that all messages are downloaded to your computer, smartphone or any other device and also remain on the Gmail servers. In addition, any changes made online or in the local mail client are automatically reflected on the other side as well.

The POP3 protocol , on the other hand, is not suitable for use on multiple devices and does not support bidirectional data synchronization (usually the messages downloaded locally are deleted on the remote server): I do not recommend its use, except in cases exceptional and I suggest you use the IMAP protocol instead; clearly, the last word is up to you, based on your actual needs and preferences.

To activate the IMAP or POP3 protocol on Gmail, connect to your Gmail mailbox via browser (the one you prefer), typing in the address bar and then pressing the Enter key on the keyboard. At this point, click on the button with the gear icon , at the top right, and select the item View all Settings from the menu that appears.

On the page that is shown to you, select the Forwarding and POP / IMAP tab , activate the Enable IMAP option (to enable the use of the IMAP protocol) or Enable POP for all messages (to enable the use of the POP3 protocol) and Click the Save Changes button located at the bottom of the screen.

In the case of the POP3 protocol, also check the box next to Enable POP only for messages arriving from now and choose the Archive copy on Gmail option from the drop-down menu When messages are downloaded via POP , so that they are not deleted from the Gmail servers. Afterward, click the Save Changes button to apply the changes.

At this point, start your favorite email client, start the wizard for adding a new email account and fill out the form that is proposed to you by entering the following information.


  • Incoming mail server (IMAP), Port: 993, Requires SSL: yes.
  • Outgoing mail server (SMTP), Port: 465 or 587, Requires SSL: yes, Requires authentication: yes.
  • Full name or display name:[your name]
  • Account Name or Username:Gmail address (e.g. [email protected]).
  • E-mailaddress : Gmail address (e.g. [email protected]).
  • Password:Gmail password.


  • Incoming mail server (POP3), Port: 995, Requires SSL: yes.
  • Outgoing mail server (SMTP), Port: 465 or 587, Requires SSL: yes, Requires authentication: yes.
  • Full name or display name:[your name]
  • Account Name or Username:Gmail address (e.g. [email protected]).
  • E-mailaddress : Gmail address (e.g. [email protected]).
  • Password:Gmail password.

If you don’t know how to start adding a new email account with the client you intend to use, please follow the instructions below.

  • Microsoft Outlook– go to the File menu , press on Add account and select Advanced Options . Then put the check mark next to the item Allow manual configuration of the account , click on the items Connect> Google and configure the Gmail parameters manually. You can also try the automatic account configuration procedure by filling out the form that is proposed to you immediately after selecting the option to add a new account with the data relating to your Gmail address.
  • Mozilla Thunderbird– click on the Menu button , on the right, go to the menu New> Existing email account , fill in the form that is proposed to you and click on the Configure manually button to type in the Gmail configuration parameters.

As anticipated at the beginning, the configurations for IMAP and POP3 just seen together can also be applied to the e-mail clients available for Android (eg. MailDroid ) and iOS / iPadOS (eg. Spark , actually also available for Android ) and other platforms mobile. Even in this case, you must proceed by going to configure the service through the application settings.

Generally the configuration procedure takes place automatically so after tapping on the option to add a Gmail type account, just enter the e-mail address, password and any two-factor authentication code and the that’s it.

However, keep in mind that in some cases the automatic configuration procedure does not work and it is instead necessary to manually type the parameters in order to use the Google home e-mail service. If so, all you have to do is enter the configuration parameters that I gave you in the previous lines.
